What are the options for sending automatic confirmations of bookings to customers and or employees by email?
Answer

Ava can send automatic confirmations of bookings to customers by email. By default there is a standard confirmation design supplied for customer messages and employee messages. These can simply be customised by editing the relevant message template file.

The precise content is completely your choice and can easily include T&C's or a link to the T&Cs on your company web site.

There can even be a separate "design" for each Skill or job type allowing more detailed information to be sent where a particular skill requires more detailed certification information.

An example of just some of the serveral hundered pieces of information that can be automatically inserted into your email is:

Reference: (this is a unique reference generated automatically by the Ava system which allows any shift to be found instantly)
Employee Name: (this is taken from the actual booking entry)
Employee Home address: (this is taken from the Employee's record card Home address tab)
Employee date of birth: (this is taken from the employee's record card: it's often requested for security purposes)
Employee NI:  (this is taken from the employee's record card: it's often requested for security purposes)
Required skills: (this is taken from the actual booking entry)
Shift date: (this is taken from the actual booking entry)
Start time: (this is taken from the actual booking entry)
End time: (this is taken from the actual booking entry)
AWR: (this is calculated from all previous booking entries)
Customer main address: (this is taken from the Customer's record card Main address tab)
Site/Department contact address: (this is taken from the Site/Department's record card Contact address tab)

 

So a sample email mail may look something like this
We confirm the following booking for you:


        Reference: 30936
        Employee Name: Bloggs, Fred Afonso
        Shift date: Wed 03 Apr 2013
        Start time: 15:30
        End time: 19:00
        AWR: 51 weeks contributing to AWR parity for Cleaning
        Employee main address: 11, Railway cuttings, East Cheam, SE15 3NV
        Customer main address: 15-19 High Street, Henley, RG9 1PR
        Dept contact address: 
        Employee main address line 1: 11
        Customer main address line 2:  Something
