Customer Requirement Process

An easy and efficient path between the initial customer request and final invoice and payroll production.

Customers can request agency staff in a number of different ways using our recruitment software, however the most common, due to its personal nature is through telephone requests.

Telephone Requests

There are two different ways that telephone requests can be inputted; these are the Simple and Power mode.


The Simple mode is basic and quick to use. As the user enters data, the search will be confined. For example if a client requests a locum lawyer, immediately all staff who do not have a law qualification will be removed from the selection.

When the user selects a shift, default and most recently used information will be displayed, meaning that if a previous client requests the same member of staff as before, the user will not have to waste time searching for the correct employee.

As the user carries on through the selection process, they will be able to select single or multiple shifts and single or multiple dates. A customer reference and the client requesting the staff will be added at this point. If the client has previously requested staff, their details will be automatically added. Key information will then be generated including department codes, and charge and pay rates.

The selection will then be saved by the recruitment software and a unique reference granted, the request will be time stamped and the operator entering the request will be automatically added.  


The shift can then be immediately filled using a pop up availability diary, else it becomes available later on for another specified user to process at a later date.


The Power mode is basically an add-on to the simple mode and allows further information to be linked to the customer request, from over 60 additional categories. It means that the recruitment agency can be completely on the ball when it comes to fulfilling its customers needs.


Contracts enable single day or shift bookings to be expanded in order to repeat requirements. The contracts are automatically generated for a chosen period in advance and can have a specified start and end date, or they can run indefinitely. There is also the option to change the end date at any time. Notes can be added to the contracts through the power input mode. More infomation on contracts can be found here.   


When an employee is self-booking, they can confirm the hours they have worked through a completed time sheet. New shifts can easily be added through the time sheet window.
