Booking Process Overview
The moment a booking request is taken, the time sheet for that booking is automatically processed in the recruitment software. The time sheet contains the hours a temporary employee is expected to work, and if the employee works these hours, a box is ticked and the payment is automatically made. However if the employee works different hours, these hours can be updated before the payment is made.
Printing Time Sheets
Time sheets can be printed individually or as a batch.
There is also an optional web module, which allows time sheets to be viewed by staff and updated by managers, and printed through the website.
Processing the Appropriate Time Sheet
The recruitment software allows time sheets to be processed in a number of ways. A single time sheet could be processed, or multiple shifts on a time sheet could be processed. This can be done through the use of a name search <ctrl + N> or pressing the search name button and selecting time sheet view. The shifts that are then displayed can be filtered by a date range or event location.
If a single shift is selected at any one time and then further shifts for the same employee are to be processed, the employee name is automatically presented and the date range selected.
There is the option to select individual shifts, a block of shifts or all outstanding shifts.
Once the employee is selected, there are preset filters for the shifts which are worked, not on hold and not checked, or those shifts which are on hold. A shift can be placed on hold for a number of reasons such as waiting for confirmation that it was actually worked or a dispute.
Where self booking is concerned, new shifts can be easily added in the time sheet window. The recruitment software then automatically calculates the amount of shifts ticked.
Ava's recruitment software can also automatically attach an image of a (signed) time sheet to the appropriate invoice, saving paper, time and money.
